Job description
Mass General Brigham relies on a wide range of professionals, including doctors, nurses, business people, tech experts, researchers, and systems analysts to advance our mission. As a not-for-profit, we support patient care, research, teaching, and community service, striving to provide exceptional care. We believe that high-performing teams drive groundbreaking medical discoveries and invite all applicants to join us and experience what it means to be part of Mass General Brigham.
At Mass General Brigham, every role contributes to our mission of advancing patient care, research, teaching, and community service. Our teams bring together clinical, administrative, technical, and research professionals who share a commitment to delivering exceptional care. As an Inpatient Administrative Coordinator (IAC), you’ll play an important role in keeping inpatient care moving smoothly. Working alongside physicians, residents, advanced practice providers (APPs), nurses, case managers, and other care team members, you’ll help coordinate admissions, discharges, and follow-up care across General Medicine, Cardiology, and Oncology. This is an opportunity to make a meaningful impact behind the scenes by helping clinical teams stay organized, supporting efficient patient transitions, and ensuring important details are handled accurately and proactively in a fast-paced hospital environment.
Responsibilities
- • Partner with inpatient teams across General Medicine, Cardiology, and Oncology. • Request medical records from outside hospitals, including imaging, pathology slides, cardiac echoes, and other documentation. • Obtain and upload imaging from outside facilities. • Coordinate medication lists, methadone dosing information, and other necessary documentation with outside pharmacies and facilities. • Submit medication prior authorizations and partner with the outpatient pharmacy on medication price checks. • Participate in interdisciplinary team rounds when feasible. • Proactively connect with residents and APPs to support daily patient care needs. • Schedule infusions, transfusions, office visits, and other services within appropriate timeframes before discharge.
- • Arrange post-discharge follow-up appointments to support a smooth transition from inpatient to outpatient care. • Develop a working knowledge of public and private insurance coverage for inpatient and ambulatory services and medications. • Initiate medication prior authorizations and price checks to support timely discharge. • Facilitate specialty pharmacy requests and coordinate timely medication delivery. • Troubleshoot scheduling challenges and escalate concerns when there are gaps in follow-up care.
- • Provide administrative and clerical support for clinical services. • Maintain patient confidentiality and privacy in accordance with HIPAA guidelines. • Build collaborative relationships with physicians, residents, APPs, operations associates, nurses, case managers, and other members of the care team. • Provide cross-coverage for colleagues as needed. • Assist with additional administrative responsibilities as assigned.
- As an IAC, you’ll help reduce administrative burden on clinical teams, support efficient patient discharges, and strengthen coordination between inpatient and outpatient care. Your organization, communication, and attention to detail will help care teams stay focused on what matters most: providing exceptional care to patients.
